Group holiday planner: find the dates everyone can get away

A group holiday needs a week, or a fortnight, that everyone can take off - and that is the part a group chat never quite settles. WeGoWhen settles it: set the window, share one link, and everyone marks the days they can get away. It ranks the runs of consecutive days the most people can make, with their names. Free, no sign-up, nothing to install, on any phone.

Annual leave, school holidays and everyone else

Holidays with friends or family run into the same three constraints every time: annual leave that has to be booked with an employer, school holidays for anyone with children, and the one or two people whose dates are fixed by something else. Each person knows their own constraints, and nobody knows everyone’s.

So ask for exactly that. Not "July or August?", but "mark every day you could be away between May and September". The overlap is then a calculation rather than a negotiation.

    Planning the holiday dates

    1. Set the window wide. A whole summer, or the whole year. WeGoWhen accepts a window up to 366 days.
    2. Send the link before anyone books leave. People can mark the days they could take off, then book leave once the dates are agreed.
    3. Set the minimum to the holiday length. Put 7 in the "Min" box for a week. Then try 5 or 10 to see who gains or drops out.
    4. Agree the top row. The ranked list shows each stretch of days, how many people can make all of it, and their names.

    For bigger groups

A trip holds up to 200 people. For a large group - a hen do, a family holiday with several households, a club trip - tap the names of the core group first to see what works for them, then clear the filter to see how many of everyone else fit.

    Questions people ask

How do you plan a group holiday with friends?

Agree the dates first. Give everyone one window and ask them to mark every day they could get away, then pick the longest stretch the most people can make. WeGoWhen does that through one link with no sign-up, and ranks the date ranges with the names of who can come.

Is there a free group holiday planner with no sign-up?

For the dates, yes: WeGoWhen is free with no paid tier, and nobody needs an account or an email address. It plans the dates only - not flights, accommodation or an itinerary.

How far ahead should you plan a group holiday?

Six months or more for a summer holiday, so that people can book annual leave and flights. Collect everyone’s availability as early as you can; the ranking updates as more people answer.
