A group availability calendar for trips, with the answer worked out

WeGoWhen is a shared availability calendar for a group trip: one link, everyone taps the whole days they are free, and the calendar shades each day by how many people can make it. Beside it, it ranks the runs of consecutive days the most people can all make, with their names - so nobody has to read the calendar to find the answer. Free, and nobody needs an account or an email.

What a group availability calendar is for

A group availability calendar is one calendar that several people fill in with when they are free, so the overlap is visible in one place instead of scattered across a group chat. It is not a shared calendar of events like the one in your phone: nobody connects their own calendar, and nothing about anyone’s other plans is shared - only the days they choose to mark.

For a trip, the overlap you need is not one day but a stretch of them. A calendar shaded by day shows that ten people are free on the 12th and eight on the 13th; it does not say which four-day run the most people can make from start to finish. That is the part WeGoWhen computes.

    How WeGoWhen’s calendar works

    • The organiser sets a window - up to a year - and names the trip. That creates the link.
    • Each person opens the link, types a name, and taps or drags across the days they are free. On a phone a tap toggles one day and a drag paints a run of them.
    • The calendar shades every day by how many people marked it, as a heat map.
    • "Best dates" lists the top runs of consecutive days, ranked by how many people can make all of each, then by length. Each row names the people in it.
    • Tap names in the participants list to see the calendar and the ranking for just those people. The "Min" box hides runs shorter than the trip you want.

    What it deliberately leaves out

There is no time of day: the unit is a whole day, because a trip does not start at 3pm. There is no calendar sync, so nobody has to grant access to their Google or Outlook calendar. There are no accounts, no notifications and no paid tier. If you need an hour for a meeting rather than days for a trip, a meeting poll is the right tool and this is not.

    Questions people ask

What is the best free group availability calendar for a trip?

For a trip, use one that asks for whole days and works out which stretch of days fits the group. WeGoWhen does both, is free with no paid tier, and needs no account or email from anyone: share a link, everyone taps their free days, and it ranks the consecutive date ranges with the names of who can make each.

Is there a shared calendar where friends mark when they are free, without signing up?

Yes. A WeGoWhen trip is a shared calendar anyone with the link can mark: they type a name and tap their days. There is no sign-up, no password and no app to install.

Can I see who is free on a particular day?

The calendar shades each day by how many people are free, and the ranked date ranges list the names of everyone who can make all of a range. Tapping a person in the participants list filters the view to the people you pick.

Does it connect to Google Calendar?

No, on purpose. Nobody has to connect or share their calendar; each person marks only the days they choose. That is also why it needs no account.
